Reallocating accounts for the new school year

This guide provides detailed instructions for organising and rearranging accounts in preparation for the new school year.

1. Update Classes

Leavers

First, rename any groups of learners who no longer belong to your school. For example, you might like to rename a group ‘School Leavers 2026'.

You can do this by selecting a group and then choosing the pencil icon to edit the group name. Choose 'Save' to confirm.

Update Groups

Start from the top (oldest class) and where classes have simply moved up, rename each group. For example, the pupils who used to belong in ‘P6’ or 'Year 5' are moving up the school and might now be known as ‘P7’ or ‘Year 6’.

You can do this by selecting a group and then choosing the pencil icon to edit the group name. Choose 'Save' to confirm.

Any new classes can be added by selecting groups and 'New group'.

2. New Learners and Staff

You can easily add new accounts, either individually or by uploading multiple at one time. Select 'New user' and choose whether you would like to add a single user or multiple.

  • You must add a name and choose the user's role.

  • Email is optional for students, but required for staff and admins.

  • On confirming your uploaded user(s), staff and admins will receive an email asking them to set a password for their account. For students, you can download and share the login cards. See the 'managing logins and passwords' section for more details.

3. Reallocations

Next, check your groups and the users in them.

  1. Select 'Groups'.

  2. Select the group whose membership you would like to view, add to or remove from.

  3. Select the 'x' beside a group member to quickly remove them or select 'Manage Members' to both add and remove accounts by selecting or de-selecting accounts.

  4. Select 'Save' to confirm

4. Managing Logins and Passwords

To generate new login cards for the upcoming school year, follow these steps.

  1. Select the group(s) which you would like to generate login cards for.

  2. Select 'Generate login cards'.

  3. Confirm whether you would like the login cards with with an automatically generated password and/or a QR code login, if available for your account.

  4. Select 'Create and download' to confirm.
